The best appointment scheduling software for Singapore businesses

A fair shortlist for clinics, salons, tuition centres and professional services, judged on SGT, the PDPA, S$ payments and busy mobile-first customers.

Finding the best appointment scheduling software for a Singapore business is less about finding one winner and more about matching the tool to your trade. A beauty salon in Tampines, a tuition centre in Bishan and a corporate advisory firm in Tanjong Pagar all take bookings, but they need very different things from the software.

This shortlist covers eight well-known options and says plainly who each one suits. We make Calenix, so it’s included, but we’ve tried to be fair about where other tools fit better. If you want the mechanics first, read how online appointment scheduling works.

Which scheduling tools suit Singapore businesses?

Each entry says who it suits best. Features and plans change, so check each vendor’s current plans and regional availability before deciding.

  1. Calenix: best all-in-one for professional services. Booking pages, service and landing pages, digital business cards, email signatures, LinkDock and contact capture in one workspace. The free forever plan covers one booking type with unlimited 1-to-1 bookings. Paid bookings, deposits and group meetings start on Individual, and round robin and team scheduling sit on Professionals. Confirmations and reminders go out by email.
  2. Calendly: best for meeting-heavy B2B teams. A mature scheduler with a large integration ecosystem, familiar to many regional and international clients.
  3. SimplyBook.me: best for feature-rich service booking. A flexible booking system with many optional features, which suits businesses that want to switch on extras as they need them.
  4. Setmore: best for simple staffed appointments. Services and staff calendars suit small clinics and studios that want a straightforward appointment book.
  5. Acuity Scheduling: best for detailed intake. Known for flexible intake forms and packages, useful for wellness and consulting businesses.
  6. Fresha: best for salons and spas. A beauty-focused platform with a consumer marketplace that can help new clients find you.
  7. Microsoft Bookings: best if you live in Microsoft 365. Included with some Microsoft 365 business plans and connected to Outlook and Teams.
  8. Clinic and tuition management systems: best for specialist operations. Many clinics and tuition centres run dedicated management software that covers records, billing or class rosters. A general scheduler can sit alongside it for enquiries and trials.

Before you shortlist

Decide whether your bookings are mostly one-to-one appointments, small group classes or meetings with clients. Tuition centres often need a mix, so our class booking guide is worth a read if group sessions matter to you.

Then think about who books. Parents booking trial lessons, patients booking a first consultation and procurement managers booking a pitch all behave differently. Parents want reassurance and a clear price, patients want simplicity, and corporate clients want a calendar invite that lands in Outlook without fuss. Picture your typical customer on their phone and choose the tool that makes their few minutes easiest.

If you also take bookings from Jakarta, Surabaya or Bali, our shortlist of appointment scheduling software for Indonesian SMEs covers WIB, WITA and WIT and the PDP Law. For clients across the Causeway in Johor Bahru, Kuala Lumpur or Penang, see our shortlist of appointment scheduling software for Malaysian businesses, which covers MYT and the PDPA 2010.

How we judged each tool for Singapore

Singapore customers are quick, mobile-first and used to good digital service. We looked at five criteria.

Time zone. Singapore Standard Time is UTC+8 all year, with no daylight saving. That’s simple at home, but regional clients move around you. Sydney is two or three hours ahead depending on the season, and London is seven or eight hours behind. A good tool shows each client the right local time.

Personal data. The Personal Data Protection Act 2012 sets general rules on consent, purpose and protection for personal data, and its Do Not Call provisions affect marketing messages. Ask vendors where data is stored, how it’s secured and how you can export or delete it. This isn’t legal advice, so check current PDPC guidance for your situation.

Payments in S$. Deposits cut no-shows, especially for trial lessons and first appointments. Check which payment methods each tool supports for your account and region, and whether amounts display in S$. Calenix processes paid bookings through third-party providers such as Stripe.

Reminders. Email reminders are standard. Some tools offer text or messaging reminders, sometimes at extra cost. Our guide to reducing no-shows covers what else helps.

Mobile experience. Most people will book from a phone on the MRT or between meetings, so the page must be fast and simple on a small screen.

We didn’t rank on price, because prices change. Compare current plans once you have two finalists.

What the right scheduling tool gives a Singapore business

Bookings around the clock: customers can book after office hours, at the weekend or during a public holiday.

Fewer messages to answer: a booking link replaces long chat threads about who’s free when.

Fewer no-shows: reminders and optional S$ deposits make empty slots less likely.

Clear regional scheduling: clients in Jakarta, Sydney or London see times in their own time zone.

A more polished first impression: a branded booking or service page supports premium pricing.

Better data habits: collecting only what you need in structured questions is easier to manage under the PDPA.

How to choose from this shortlist in 6 steps

1

Name your booking pattern — Decide whether you mainly run one-to-one appointments, small group classes, staffed services or client meetings. That usually rules out half the list.

2

List your must-haves — Pick three to five features you can’t do without, such as deposits, intake questions, staff calendars or group sessions.

3

Shortlist two tools — Choose the two that best match your must-haves and trial them side by side for a fortnight.

4

Book as a customer on your mobile — Make test bookings on your phone, then ask a contact overseas to book and tell you what time they saw.

5

Test deposits and cancellations — Take a test payment, cancel and reschedule. Check that your policy is clear on the page and in the confirmation email.

6

Check data handling and exit — Ask where data is stored, how it is protected and how easily you can export your customer list if you move on.

Best practices when comparing scheduling software in Singapore

Judge tools against your own must-have list, not the longest feature grid.

Ask only the booking questions you genuinely need, and say why you are asking.

Check whether the software bills in S$ or US$ so there are no surprises.

Write your cancellation and deposit policy in plain English on the booking page.

Keep marketing consent separate from booking confirmations.

Run your old booking method alongside the new one for a fortnight while you switch.

Review your choice every year, because features and plans change.

Pitfalls when choosing booking software in Singapore

Collecting NRIC numbers or other sensitive details in a booking form when you don’t need them.

Assuming a payment method your customers expect is supported without checking for your account and region.

Buying a full clinic or tuition system when you only need enquiries and trial bookings, or the reverse.

Forgetting that regional clients see times in their own zone, and testing only from Singapore.

Assuming text or messaging reminders are included when they may cost extra.

Not checking how to export your customer data before you sign up.

Example: a tuition centre in Bishan narrows the list

Take a fictional two-room tuition centre in Bishan teaching primary maths and science. Its class timetable and fees already run in a tuition management system. The problem is everything before enrolment: parents message at all hours asking about trial lessons, and the owner spends evenings replying.

Her must-haves are a trial lesson booking page, a short parent consultation slot, a small deposit to hold trial places and a page that works well on a phone. She doesn’t want to replace her class system.

Fresha is built for beauty, and a full clinic system doesn’t fit. She trials SimplyBook.me and Calenix side by side for a fortnight.

In Calenix, on the Individual plan, she creates a group event for Saturday trial lessons and a 20-minute one-to-one parent consultation. Custom booking questions ask for the child’s level and subject, and nothing more. An illustrative S$30 deposit, paid through Stripe and credited to the first month’s fees, holds each trial place. Illustratively, if two unpaid trial no-shows a week each waste a S$45 seat, that is S$90 a week back in play.

She puts the link on a simple service page describing each programme, on her digital business card for school fairs and in her messaging replies. She picks Calenix for the pages and card in one workspace; had she wanted more built-in booking features, SimplyBook.me would have been a close call, as our Calenix vs SimplyBook.me comparison explains.
