The best appointment scheduling software for Indonesian SMEs
A fair shortlist for clinics, studios, consultancies and service businesses from Jakarta to Bali, judged on three time zones, the PDP Law, rupiah payments and mobile-first customers.
Choosing the best appointment scheduling software for an Indonesian SME starts with an unusual detail: your own country spans three time zones. A design studio in Bandung, a spa in Seminyak and a training provider in Surabaya may all serve clients who sit one or two hours away without leaving Indonesia.
This shortlist covers eight well-known options and says plainly who each one suits. We make Calenix, so it is included, but we have tried to be fair about where other tools fit better. Features and plans change, so check each vendor's current plans. If you are new to the idea, start with how online appointment scheduling works.
Which scheduling tools suit Indonesian SMEs?
Each entry says who it suits best. Check current plans, supported payment methods and regional availability before deciding, as these vary by country and change over time.
- Calenix: best all-in-one for professional services. Booking pages, service and landing pages, digital business cards, email signatures, LinkDock and contact capture in one workspace. The free forever plan covers one booking type with unlimited 1-to-1 bookings. Paid bookings, deposits and group meetings start on Individual, and round robin and team scheduling sit on Professionals. Confirmations and reminders go out by email.
- Calendly: best for meeting-heavy B2B teams. A mature scheduler with a large integration ecosystem, familiar to many international clients and partners.
- SimplyBook.me: best for feature-rich service booking. A flexible booking system with many optional features you can switch on as you grow.
- Setmore: best for simple staffed appointments. Services and staff calendars suit small clinics, studios and workshops that want a straightforward appointment book.
- Fresha: best for salons and spas. A beauty and wellness platform with a consumer marketplace; check how it operates in your city.
- Zoho Bookings: best if you already run Zoho apps. A natural fit for businesses using Zoho CRM or other Zoho tools.
- Microsoft Bookings: best if you live in Microsoft 365. Included with some Microsoft 365 business plans and connected to Outlook and Teams.
- Specialist and local systems: best for specialist operations. Clinics, gyms and course providers often run dedicated management software, sometimes built for the Indonesian market, covering records, billing or memberships. A general scheduler can sit alongside it for enquiries and consultations.
Before you shortlist
Decide what you are really booking: one-to-one appointments, small group sessions, staffed services or client meetings. Then think about who books and how. Many Indonesian customers reach you first through WhatsApp or Instagram, so the booking link you send in a chat needs to open quickly and work well on a phone.
If you also sell across Southeast Asia, our Singapore scheduling software shortlist and our guide for Malaysian businesses use the same fair approach.
How we judged each tool for Indonesia
We looked at five criteria that matter more in Indonesia than a generic feature grid.
Three time zones. Indonesia runs on WIB (UTC+7) in Java and Sumatra, WITA (UTC+8) in Bali, Nusa Tenggara and Sulawesi, and WIT (UTC+9) in Maluku and Papua. None of them use daylight saving. A Jakarta host offering 09:00 is offering 10:00 to a client in Denpasar and 11:00 to one in Jayapura. Set your own time zone correctly and test what a client in another zone sees.
Personal data. The Personal Data Protection Law (Law No. 27 of 2022) sets general rules on consent, purpose and security for personal data. Ask vendors where data is stored, how it is protected and how you can export or delete it. This is not legal advice, so check current guidance for your business.
Payments in rupiah. Deposits cut no-shows, but customers may expect local methods such as bank transfer, QRIS or e-wallets. Check which methods each tool supports for your account and region before you promise any. Calenix processes paid bookings through third-party providers such as Stripe, so check what is available to you.
Reminders. Email reminders are standard. Some tools offer text or chat reminders, sometimes at extra cost. Our guide to reducing no-shows covers what else helps.
Mobile experience. Most people will book from a phone, often on mobile data, so pages must be light and simple.
We did not rank on price, because prices change.
What the right scheduling tool gives an Indonesian SME
Bookings around the clock: customers can book in the evening, at the weekend or during a long holiday without waiting for a reply.
Fewer chat threads: a single booking link replaces long conversations about who is free when.
Clearer times across zones: clients in WIB, WITA and WIT see a slot that makes sense for them.
Fewer no-shows: reminders and optional deposits make empty slots less likely.
A more professional first impression: a branded booking or service page supports premium pricing.
Better data habits: structured booking questions make it easier to collect only what you need under the PDP Law.
How to choose from this shortlist in 6 steps
Name your booking pattern — Decide whether you mainly run one-to-one appointments, group sessions, staffed services or client meetings. That usually rules out half the list.
List your must-haves — Pick three to five features you cannot do without, such as deposits, intake questions, staff calendars or group sessions.
Check payments for your region — Confirm which payment methods and currencies each finalist supports for an Indonesian account before relying on deposits.
Trial two tools side by side — Run your two finalists for a fortnight with real bookings. Keep your old method open while you test.
Book as a customer in another zone — Ask a contact in Bali or Makassar to book on their phone and tell you what time they saw and received.
Check data handling and exit — Ask where data is stored, how it is protected and how easily you can export your customer list if you move on.

Best practices when comparing scheduling software in Indonesia
Always state the time zone next to a time in messages, for example 14:00 WIB.
Judge tools against your own must-have list, not the longest feature grid.
Ask only the booking questions you genuinely need, and say why you are asking.
Check whether the software bills in rupiah or US dollars so there are no surprises.
Write your deposit and cancellation policy clearly on the booking page, in the language your customers use.
Keep marketing consent separate from booking confirmations.
Review your choice every year, because features and plans change.
Pitfalls when choosing booking software in Indonesia
Assuming everyone is on Jakarta time and forgetting clients in WITA or WIT.
Promising a payment method, such as QRIS or an e-wallet, before checking the tool supports it for your account.
Collecting identity numbers or other sensitive details in a booking form when you do not need them.
Assuming chat or text reminders are included when a tool only sends email, or charges extra.
Buying a full clinic or gym system when you only need consultations, or the reverse.
Not checking how to export your customer data before you sign up.
Example: a design consultancy in Bandung with clients across three zones
Take a fictional three-person interior design consultancy in Bandung. Most projects come from Jakarta, a growing number from villa owners in Bali, and the occasional hotel enquiry from Makassar. Enquiries arrive by Instagram message and WhatsApp, and the founder spends evenings agreeing call times, sometimes getting the zone wrong.
Her must-haves are a free 30-minute discovery call, a paid site consultation with a deposit, a page that explains each service, and something she can hand out at trade fairs in Jakarta. She does not need staff rosters or a marketplace, so Setmore and Fresha drop off the list. She trials SimplyBook.me and Calenix for a fortnight.
In Calenix, on the Individual plan, she creates the discovery call and a 90-minute site consultation, with her time zone set to WIB and a 30-minute buffer after each. Custom booking questions ask for the city, property type and rough project stage. She checks which payment methods are available for her account before setting an illustrative Rp500,000 deposit, credited against the design fee.
The illustrative maths: if one unpaid site visit a fortnight falls through, and each represents half a day worth Rp2,000,000 of her time, that is roughly Rp4,000,000 a month back in play once deposits are in place.
She adds the link to a service page for each offer, a digital business card with a QR code for trade fairs, and her chat replies. She picks Calenix for pages and cards in one workspace. Had she wanted more built-in booking options, SimplyBook.me would have been close, as our Calenix vs SimplyBook.me comparison explains.
