The best appointment scheduling software for New Zealand small businesses
A fair shortlist of NZ-built and international tools, judged on NZ time zones, the Privacy Act 2020, NZ$ payments and how Kiwi customers actually book.
Choosing the best appointment scheduling software for a New Zealand small business means looking past the big global names. New Zealand has produced some excellent industry tools, and a hairdresser in Ponsonby, a plumber in Hamilton and a business coach in Wellington each need something different.
Below is a shortlist of eight well-known options, including NZ-built software such as Timely, Tradify and Fergus, with notes on who each one suits. We make Calenix, so it’s on the list, but we’ve tried to be straight about where others fit better. If you’re new to comparing tools, our guide on how to choose scheduling software is a good warm-up.
Which scheduling tools suit New Zealand small businesses?
Each entry says who it suits best. Features and plans change, so check each vendor’s current plans before deciding.
- Calenix: best all-in-one for service professionals. Booking pages, service and landing pages, digital business cards, email signatures, LinkDock and contact capture in one workspace. The free forever plan covers one booking type with unlimited 1-to-1 bookings. Paid bookings, deposits and custom branding start on Individual, and round robin and team scheduling sit on Professionals. Confirmations and reminders are sent by email.
- Calendly: best for meeting-heavy professional services. A mature scheduling tool with a large integration ecosystem. Many clients already recognise a Calendly link.
- Timely: best for salons, spas and beauty (NZ-founded). Salon and beauty software with appointment books, staff rosters and client records, built with that industry in mind.
- Fresha: best if you want a beauty marketplace. A widely used platform for salons, barbers and spas, with a consumer-facing marketplace where new clients can find you.
- Cliniko: best for allied health practices. Australian-built practice management software used by many physios, osteopaths and counsellors across New Zealand, combining bookings with clinical notes and invoicing.
- Tradify: best for small trade businesses (NZ-built). Job management for tradies that covers quoting, scheduling, timesheets and invoicing rather than just appointments.
- Fergus: best for growing trade teams (NZ-built). Job management designed for plumbing, electrical and similar trades, with job tracking from quote to invoice.
- Setmore: best for simple staff-based booking. Services and staff calendars suit small studios and clinics that want a straightforward appointment book.
A general scheduler or an industry tool?
Industry tools like Cliniko, Timely or Fergus do far more for their sector, but they also expect you to run more of your business inside them. A general scheduler is lighter and more flexible. Our round-up of booking software for service businesses explains that trade-off in more depth.
Expanding into Southeast Asia as well? Our guide to scheduling software for Indonesian SMEs explains how to handle Indonesia's three time zones and rupiah deposits.
How we judged each tool for New Zealand
A tool that works well in London or Sydney can still trip up a Kiwi business in small ways. We looked at five things.
Time zones. New Zealand runs on NZST (UTC+12) and moves to NZDT (UTC+13) from late September to early April. The Chatham Islands keep their own time, 45 minutes ahead, so check your software if you serve customers there. Australian clients matter too: the gap to Sydney is usually two hours, but it shifts for a short spell in spring because the two countries start daylight saving on different dates.
Privacy. The Privacy Act 2020 applies to organisations of every size that hold personal information, including booking data. Ask vendors where data is stored, how it’s protected and how you can export or delete it.
Payments in NZ$. If you take deposits, check that the tool supports a payment provider available in New Zealand and shows amounts in NZ$. Calenix processes paid bookings through third-party providers such as Stripe.
Reminders. Email reminders are standard across this list. Some tools offer text reminders, sometimes at extra cost. Our guide to email appointment reminders covers how to make email work hard.
Support hours. New Zealand is one of the first places to start each day, so a vendor’s support desk may be asleep during your working morning. Check when help is actually available.
We didn’t rank on price, because prices change and depend on team size. Compare current plans once you have a shortlist of two.
What the right scheduling tool gives a New Zealand business
Fewer calls and messages to return: customers book themselves in the evening, at the weekend or on a public holiday.
Correct times for everyone: bookings from Auckland, Invercargill or Brisbane land at the right local time, with daylight saving handled for you.
Fewer empty slots: automatic reminders and optional NZ$ deposits make no-shows less likely.
A more professional first impression: a clear booking page reassures new customers before they’ve met you.
Better-shaped days: buffers and availability rules protect travel time, lunch and admin.
Room to grow: adding staff or services later doesn’t mean starting again with a new system.
How to pick from this shortlist in 6 steps
Decide what kind of business you are — Are you mainly meetings and consultations, a staffed appointment business, a clinic or a trade running jobs? That alone usually cuts the list in half.
Write down three to five must-haves — Examples include deposits, intake questions, staff calendars, quoting or clinical notes. Anything else is a nice-to-have.
Pick two tools to trial — Choose the two that best match your must-haves. Testing more than two or three at once usually means none get tested properly.
Set your time zone and book as a customer — Set your business to Pacific/Auckland, then make test bookings from your mobile. Ask a friend in Australia to book too and check what they see.
Try the awkward cases — Reschedule, cancel, take a deposit and book back-to-back appointments. Note how each tool handles your cancellation policy and reminder emails.
Check privacy, support and exit — Ask where data is stored, when support is available in NZ hours and how easily you can export your customer list if you leave.

Best practices when comparing scheduling software in NZ
Judge every tool against your own must-have list, not the longest feature grid.
Trial with your real services, prices and hours rather than the demo defaults.
Check whether the software is billed in NZ$ or another currency, so your statement holds no surprises.
Read the cancellation and auto-renewal terms for the software itself before committing.
Write a short privacy note on your booking page explaining what you collect and why.
Run your old booking method alongside the new one for a fortnight while you switch.
Review your choice once a year, because features and plans change.
Pitfalls when choosing from a ‘best of’ list
Buying full job management software when you only need customers to book a consultation, or the reverse.
Assuming a tool handles NZ daylight saving correctly without testing a booking across the changeover.
Forgetting customers on the Chatham Islands or in Australia when you check how times display.
Assuming text reminders are included when they may cost extra or not be offered at all.
Ignoring how the booking page looks and works on a small mobile screen.
Not checking how to export your customer data before you sign up.
Example: a landscape designer in Christchurch narrows the list
Take a fictional landscape designer working across Christchurch and Selwyn. She works alone, runs about eight site consultations a week and spends most of her time designing, not building. Enquiries arrive by phone, email and social media, and she loses evenings to back-and-forth about times.
Her must-haves are travel time between site visits, a deposit for first consultations, a few questions about section size and budget, and a booking page that looks professional. She doesn’t need timesheets, stock or a marketplace.
Tradify and Fergus are strong, but they’re built for running trade jobs, which is more than she needs. Timely, Fresha and Cliniko are aimed at other industries. She trials Calendly and Calenix for a fortnight.
In Calenix, on the Individual plan, she creates two event types: a 90-minute on-site consultation and a 30-minute video follow-up. She adds a 45-minute buffer for driving, asks three custom booking questions and takes an illustrative NZ$80 deposit through Stripe, credited against the design fee. Her time zone is set to Pacific/Auckland, so a client moving from Melbourne sees the right time. She shares the link from her digital business card at garden shows.
She chooses Calenix because she also wants a service page for her design packages and LinkDock for her portfolio. If she later hired a crew to build gardens, a job tool like Tradify or Fergus could sit alongside it.
