Cancellation policy wording you can copy, paste and adapt
Eight ready-made cancellation policies with [placeholders], from a two-line booking-page version to full terms, plus confirmation and reminder lines and a fee waiver email.
This appointment cancellation policy template gives you finished wording in eight versions, so you can pick the one closest to your business and edit rather than start from nothing. Every version uses [square brackets] for the details you need to fill in: notice periods, amounts, contact methods and business names.
Choose one short version for your booking page and one full version for your terms, then add the matching lines to your confirmation and reminder emails. If you are still deciding how much notice to ask for or whether to use a fee or a deposit, settle that first; the template assumes you know your numbers. The wording pairs well with our appointment confirmation email templates and reminder email templates.
Eight cancellation policy versions to copy
Replace everything in [square brackets]. Keep the numbers identical wherever the same rule appears, so the booking page, terms and emails never contradict each other.
1. Short booking-page version
'Need to cancel or change? Please let us know at least [24] hours before your appointment using [the link in your confirmation email / phone number]. Later cancellations and missed appointments [are charged [amount or percentage] / forfeit the deposit].'
2. Full terms version
'Cancellations and changes. You can cancel or reschedule free of charge up to [24] hours before your appointment. To do so, [use the link in your confirmation email / email [address] / call [number] between [hours]]. If you cancel with less than [24] hours' notice, or do not attend, we may charge [amount or percentage of the service price]. We may waive this charge in exceptional circumstances, such as sudden illness or an emergency, at our discretion. If we need to cancel, we will tell you as early as possible and you will not be charged. This policy does not affect your statutory rights.'
3. Deposit-based version
'A deposit of [amount] is taken when you book and comes off your final bill. If you cancel or reschedule at least [48] hours before, your deposit [is refunded / moves to your new appointment]. With less notice, or if you do not attend, the deposit is kept to cover the reserved time.'
4. Fee-based version
'We do not take payment upfront. If you cancel with less than [24] hours' notice, a late cancellation fee of [amount] applies. Missed appointments without any notice are charged at [amount / [percentage] of the service price]. We will email you before any charge is made.'
5. Clinic and allied health version
'Your appointment time is reserved for you alone. Please give [24] hours' notice if you cannot attend so we can offer the time to another patient. Late cancellations and non-attendance may incur a fee of [amount]. This fee cannot be claimed through [Medicare / private health insurance / your insurer]. If you are unwell with [a contagious illness], please call us: we would rather reschedule than have you attend, and [we will waive the fee / the usual policy applies].'
6. Salon and beauty version
'We ask for [48] hours' notice for [colour, extensions and treatments over [90] minutes] and [24] hours for all other services. Late cancellations are charged at [50] per cent of the booked service, and missed appointments at [100] per cent. Arriving more than [15] minutes late may mean we need to shorten or rebook your service.'
If you run a salon, our hair salon appointment template shows where this wording sits alongside service descriptions and booking questions.
7. Professional services version
'Consultations can be rescheduled or cancelled without charge up to [one business day] before the meeting. With less notice, [the consultation fee is payable / we will deduct [amount] from your retainer]. Where a consultation requires preparation, such as [document review], preparation already completed is chargeable at [rate] whatever the notice given.'
8. Group classes version
'Cancel your place up to [12] hours before class to have the credit returned to your account. Later cancellations and no-shows lose the class credit. If a class is cancelled by us, your credit is returned automatically [and you will be offered a priority place in the next session].'
Lines to repeat after booking, plus a waiver email
A policy that appears only on the booking page is easy to forget. Clients book on Monday, the appointment is on Friday, and by then the notice window has slipped their mind. Repeating one line in the confirmation and the reminder keeps it in view at the moments that matter, without sounding stern.
Confirmation email line: 'Need to change your plans? Please let us know at least [24] hours before [day, time] using [link / contact]. You can read our full cancellation policy here: [link].'
Reminder email line: 'See you [tomorrow / on [day]] at [time]. If you can no longer make it, please [cancel or reschedule] before [time, date] so we can offer the slot to someone else.' Putting an actual deadline in the reminder is clearer than repeating '24 hours'. If you are setting these up for the first time, our guide on how to send automatic appointment reminders covers timing.
Fee waiver email: 'Hi [name], thanks for letting us know about [day]. Our policy would normally mean a late cancellation charge of [amount], but given [the circumstances / that this is the first time], we have waived it on this occasion. You can book a new time here: [link]. We look forward to seeing you soon. [Your name]'
The waiver email does two jobs. It shows goodwill, and it quietly reminds the client that the policy exists and is applied. Note each waiver on the client's record so you can see if the same request comes up again.
Why use a template rather than writing from scratch
Faster setup: pick the closest version and fill in a handful of placeholders.
Consistent numbers: the same notice period appears on the page, in terms and in every email.
Ready for your sector: clinic, salon, professional and class versions cover different norms.
Short and long forms: a two-line summary for the page and full terms for disputes.
Built-in goodwill: the waiver email lets you be generous without abandoning the rule.
Plain language: wording a client can understand on a phone in a few seconds.
How to put the template to work in 5 steps
Pick two versions — Choose the short booking-page version and whichever full version best fits your services, such as salon, clinic or class.
Fill in every placeholder — Replace each [bracket] with real notice periods, amounts and contact details, and delete options that do not apply.
Add the summary to each booking type — Paste the short version into the description of every service or event type, and add a required question confirming the client has read it.
Update your emails — Add the confirmation and reminder lines to your email templates, with a deadline written as a day and time.
Save the waiver email — Keep the waiver wording somewhere quick to reach so whoever handles a late cancellation can send it in under a minute.
Which version should you start from?
| Feature | Start with | Common notice period | Usual remedy |
|---|---|---|---|
| Hair, nails, lashes | Salon and beauty | 24 to 48 hours | Percentage of service price |
| Physio, podiatry, massage | Clinic and allied health | 24 hours | Flat late fee |
| Accountants, lawyers, advisers | Professional services | One business day | Consultation fee or retainer deduction |
| Yoga, Pilates, fitness classes | Group classes | 6 to 12 hours | Lost class credit |
| Photography, events, workshops | Deposit-based | 48 hours to several weeks | Deposit kept |
| Tutors, coaches, trainers | Fee-based | 12 to 24 hours | Flat fee or session counted |
Tips for adapting the wording
Keep the notice period in the first line of every version you use.
Write the cancellation method as a specific link, address or number.
Use a day and time in reminders, such as 'before 10am Thursday', instead of a count of hours.
Include a line about what happens when you cancel, so the policy feels balanced.
Add 'This policy does not affect your statutory rights' where consumer law applies.
Read the final wording aloud; if it sounds like a warning notice, soften the tone.
Mistakes when copying a policy template
Leaving a [placeholder] in the published version.
Using one notice period on the booking page and a different one in the terms.
Copying a clinic version into a salon business, or the reverse, without changing the norms.
Promising a refund method you do not actually offer.
Adding the policy to the website but not to confirmation and reminder emails.
Forgetting to update the amounts after a price rise.
Example: a filled-in policy for a Pilates studio in Pune
Take a fictional Pilates studio in Pune that runs reformer classes for up to eight people and private one-to-one sessions. It used two versions of the template.
- Short version on the booking page: 'Need to cancel? Let us know at least 12 hours before class, or 24 hours before a private session, using the link in your confirmation email. Later cancellations lose the class credit or are charged ₹800 for private sessions.'
- Group classes version, filled in: 'Cancel your place up to 12 hours before class to have the credit returned to your pack. Later cancellations and no-shows lose the class credit. If we cancel a class, your credit is returned and you get a priority place in the next session.'
- Reminder line: 'See you tomorrow at 7am. If you can't make it, please cancel before 7pm tonight so someone on the waiting list can take your reformer.'
- Waiver email: 'Hi Ananya, thanks for letting us know about this morning. We've returned your class credit this once, given the flooding on your route. Book your next class here.'
The studio uses Calenix for private sessions and group meetings, with email confirmations and reminders that carry the policy lines. Group meetings and more than one event type need the Individual plan; the Free plan covers one booking type. Class packs and credits are tracked in the studio's own system, since Calenix is not a membership platform. In India, the Consumer Protection Act 2019 covers unfair contract terms, so the studio kept charges modest and showed them before booking. Our class booking guide covers capacity and waiting lists in more depth.
Illustrative maths: if two of eight reformer places a week were lost to late cancellations at ₹700 each, and clear reminder deadlines halve that, the studio keeps about ₹700 a week, or roughly ₹36,400 a year, before counting the private sessions.
