Appointment confirmation email templates you can copy today
Nine ready-to-copy confirmation emails for online calls, in-person visits, home visits, paid sessions, group bookings and more, each with [placeholders] and a subject line.
These appointment confirmation email templates give you ready-made wording for the message a customer receives the moment they book. There is one for each common situation: online calls, in-person appointments, home visits, paid sessions, deposits, group bookings, phone calls, free consultations and rebooked appointments.
This page is a copy-and-paste library rather than a guide to the principles. For the full checklist of what every confirmation must contain, read what to include in an appointment confirmation email. For the messages that follow nearer the day, use our appointment reminder email templates. Replace each [placeholder], keep the templates that suit you and delete the rest.

Why each appointment type deserves its own confirmation
A single generic confirmation is better than nothing, but it rarely fits every booking. The details a customer needs change with the type of appointment, and the confirmation is the message they will search for on the day.
An online call lives or dies on the link and the time zone. A client in Leeds joining a call with an adviser in Brisbane needs to see 'GMT' or 'BST' and 'AEST' spelt out, not just '9:00'. Our guide to adding video meeting links to appointments covers getting the link into the booking in the first place.
A home visit needs an arrival window and access notes, because the customer has to be in and the dog has to be out. A paid session needs a clear statement that payment has arrived and what the refund terms are, otherwise people email to check. A group session needs a cut-off for cancelling, so an empty seat can go to someone on your list. A rebooked appointment needs the old date as well as the new one, so nobody turns up at the original time.
Tailored confirmations also do quiet work on attendance. When the customer can see exactly when, where and what happens if plans change, they are more likely to turn up or tell you early. That is one of the simpler levers in any plan to reduce appointment no-shows, alongside reminders and deposits.
Finally, a set of agreed templates keeps a team consistent. Whether a confirmation goes out automatically or someone sends one by hand for a phone booking, the customer gets the same tone and the same information.
What a confirmation template library does for you
Fewer 'just checking' emails: customers find the time, place and terms in the first message.
The right details every time: each appointment type gets the information it actually needs.
Faster manual bookings: phone and walk-in bookings get a proper confirmation in seconds.
Consistent tone across a team: every confirmation sounds like the same business.
Clearer payment records: paid and deposit confirmations state exactly what was received.
Fewer wasted places: group confirmations set a cut-off so empty seats can be refilled.
How to put these confirmation templates to work in 6 steps
Match templates to your booking types — List every kind of appointment you take and pick the template that fits each one, such as online call, home visit or group session.
Fill in every placeholder — Replace each bracket with your real wording for address, parking, time zone, notice period and payment terms. Search for any leftover square brackets before you use it.
Check what your booking tool sends — Most booking tools send a confirmation automatically. Check your event settings to see which details are included and how much wording you can change.
Put fixed details where they will be seen — If you cannot edit the automatic email, add key details such as parking or preparation to the event description or booking page, and keep these templates as saved replies for manual bookings.
Make a test booking — Book each appointment type yourself and open the confirmation on a mobile to check times, zones, links and addresses.
Review after a month — Note the questions customers still ask after booking and add the answers to the relevant template.

Tips for using confirmation templates
Put the service, date and time in the subject line so the email is easy to find later.
Write the day of the week and the time zone, not just a date and a number.
Keep the body short enough to read on a mobile without scrolling.
Use the same sender name the customer saw on your booking page.
Link descriptive words such as 'Join the call' rather than pasting a bare web address.
Keep sensitive details, such as health or financial information, out of the email.
Save the templates somewhere the whole team can find them, such as a shared document.
Mistakes to avoid
Sending a live confirmation with a [placeholder] still in it.
Using the online call template for an in-person booking, so the address is missing.
Leaving out the time zone for customers in another state or country.
Confirming a payment without saying what the refund or transfer terms are.
Forgetting the old date when confirming a rebooked appointment.
Adding promotions to a confirmation, which buries the details customers need.
Example: three filled-in confirmations for a Manchester wellbeing studio
Take a fictional wellbeing studio in Ancoats, Manchester, run by one owner. She offers one-to-one massage in the studio, paid online coaching calls and a Saturday group stretch class. Clients are mostly local, with a few online coaching clients in Sydney. Here are three of her templates, filled in.
In-person appointment: Subject: 'Booked: sports massage on Thursday 15 October at 18:00'. Body: 'Hi Tom, you are booked in with Rachel on Thursday 15 October at 18:00 at Unit 4, Hope Mill, Pollard Street. The nearest car park is on Redhill Street. The studio is on the ground floor with step-free access. Please arrive five minutes early. To change it, reply to this email with 24 hours' notice.'
Paid session: Subject: 'Payment received: coaching call on Tuesday 20 October'. Body: 'Hi Grace, thank you for your payment of £65. Your 50-minute coaching call is confirmed for Tuesday 20 October at 08:00 BST, which is 18:00 AEDT in Sydney, on Zoom. Join here: Join the coaching call. You can move it free of charge with 48 hours' notice.'
Group session: Subject: 'Your place is confirmed: Saturday stretch on 24 October'. Body: 'Hi Aisha, your place at Saturday stretch on 24 October, 09:30 to 10:30, is confirmed. Please bring a mat and water. Can't make it? Let us know by 18:00 on Friday so we can offer your place to someone else.'
She runs bookings through Calenix on the Individual plan, because she needs several event types, paid bookings through Stripe and group meetings. Confirmations go out by email as soon as someone books. For the class, she keeps a shared note of the wording so the group booking cut-off is always the same. The illustrative maths: if the Friday cut-off lets her refill two £12 class places a week, that is £24 a week, or about £1,250 over a year.
