Scheduling software for Indian digital agencies with clients in four time zones

How Bengaluru, Pune and Kochi agencies can run pitch calls, round robin enquiries, collective client calls and onboarding across IST, the UK, the US, Australia and the Gulf without a spreadsheet of overlap hours.

An Indian digital agency often has two sales motions running at once. Domestic clients in Mumbai or Hyderabad expect a call during the working day and a quick WhatsApp reply. Overseas clients in London, New York, Sydney or Dubai expect a call that suits their morning, which can mean 1:30pm, 7pm or 4:30am in India depending on the month. Scheduling software is how you keep both motions moving without your BD team living on their phones until midnight.

This guide is written for marketing, design and development agencies of roughly 5 to 80 people. It covers overlap windows by region, how to share enquiries across business development reps, collective calls with a client and your delivery lead, white-label partner calls and onboarding. If you want a product shortlist rather than a working method, our comparison of scheduling software for Indian service businesses covers that ground.

How the agency calendar actually works across IST and your clients' clocks

India Standard Time is UTC+5:30 all year. India does not change its clocks, but the UK, the US and south-eastern Australia do, so your overlap with each market moves twice a year. The table further down gives typical windows; here is how they shape the work.

UK and Europe: the afternoon window

During British Summer Time, London is 4 hours 30 minutes behind IST. A 9:30am London call is 2pm in Bengaluru. From late October to late March the gap is 5 hours 30 minutes, so the same call lands at 3pm. Most Indian agencies find the UK the easiest overseas market to serve live: the overlap sits inside a normal Indian working day.

United States: the evening window

New York is 9 hours 30 minutes behind IST in summer and 10 hours 30 minutes in winter. A 9am Eastern call is 6:30pm or 7:30pm in Pune. The US West Coast pushes that later again. Agencies usually handle this with a dedicated evening slot block, two or three evenings a week, staffed by a rota rather than by whoever is still online.

Australia: the early morning window

Sydney is 4 hours 30 minutes ahead of IST during Australian standard time and 5 hours 30 minutes ahead during daylight saving, which New South Wales and Victoria observe from early October to early April. Queensland and Western Australia do not change clocks. A 3pm Sydney call is 10:30am or 9:30am in India, so an Indian morning works well for Australian afternoons.

Middle East: almost no friction

Dubai is 1 hour 30 minutes behind IST and Riyadh 2 hours 30 minutes behind, with no clock changes. Gulf clients can usually book from the same slots as domestic clients. Note that the Gulf working week is Monday to Friday in the UAE but Sunday to Thursday in some neighbouring markets, so check before assuming Friday is free.

The call types worth separating

  • Pitch or discovery call: 30 minutes, for new enquiries. Shared across BD reps.
  • Proposal walkthrough: 45 to 60 minutes, with the account lead and the delivery lead present.
  • Kick-off and onboarding: a longer call once the contract is signed, often with the client's in-house marketing team.
  • Monthly or fortnightly review: for retainers, booked by the client from a fixed set of slots.
  • White-label partner call: for agencies abroad that resell your work under their brand.

Each of these deserves its own event type, with its own length, questions and availability. That is the difference between a booking link and a scheduling system.

What goes wrong without a proper booking setup

The most common failure is slow first response. A UK founder who fills in your contact form at 10am their time has often contacted two or three other agencies the same morning. If your reply proposing times arrives the next day, after a round of email back and forth, someone else may already have the call. A booking link in the auto-reply, showing slots in the founder's own time zone, removes that delay. Our guide to scheduling meetings across time zones explains why showing local times matters so much.

The second failure is uneven load. Without routing, the rep with the most visible email address gets every enquiry and the newer reps get none. Round robin spreads pitch calls fairly, and it also protects you when one rep is on leave or travelling.

The third is the late-night creep. Once you accept a few US calls at 9:30pm IST, clients learn that you are available then. Setting explicit evening availability, for named people, on named days, keeps the late work bounded and visible.

Finally, agencies serving overseas clients often lose detail between sales and delivery. When the proposal walkthrough is a collective call that books the account lead and the delivery lead together, the person who will run the project hears the brief first-hand. The wider agency scheduling guide goes deeper on retainers and internal review cycles.

What a booking system gives an Indian agency

Correct local times: overseas prospects see slots in their own time zone, so nobody does IST arithmetic by hand.

Fair enquiry sharing: round robin rotates pitch calls across BD reps instead of the loudest inbox winning.

Bounded evenings: US calls only land in the evening blocks you open, for the people on that rota.

Better proposals: pre-call questions capture budget range, timelines and current site or channels before the pitch.

Shared context: collective calls put the delivery lead in the room before the project starts.

Paid sessions where useful: audits or strategy workshops can take a deposit at booking, where your payment provider supports it.

Setting up scheduling for a cross-border agency

1

Map your overlap windows — List each market you serve and the IST hours that overlap with their business day, for both summer and winter. Decide which windows you will staff and which you will decline.

2

Create one event type per call purpose — Pitch call, proposal walkthrough, onboarding, monthly review and partner call, each with its own length, buffer and questions.

3

Assign people and routing — Put BD reps into a round robin for pitch calls and set walkthroughs as collective meetings with the account lead and delivery lead.

4

Set evening and early availability by person — Give the US rota two or three evening blocks and the Australia contact a few early-morning slots, rather than opening everyone's late hours.

5

Connect calendars and video — Connect Google Calendar or Outlook for each person so leave, internal standups and client calls block time. Add Zoom or Microsoft Teams where enabled; for Google Meet, put a fixed meeting link in the location field.

6

Add payment only where you charge — If you sell paid audits, attach a deposit and check which payment options are available for your account and region. Keep GST invoicing in your accounting software.

7

Publish links where enquiries arrive — Add booking links to the contact form auto-reply, proposal emails, LinkedIn profiles and every team member's email signature.

Habits that keep cross-border calls running smoothly

Review your overlap windows in March, October and November, when the UK, US and Australia change clocks at different times.

Name the evening rota and rotate it monthly, so late calls are shared rather than assumed.

Ask overseas prospects for their country on the booking form, so you can prepare region-specific examples.

Set a minimum notice period of a few hours so a 7am IST booking made overnight does not surprise anyone.

Use a short buffer after pitch calls for CRM notes and a follow-up email while details are fresh.

Give white-label partners their own event type and keep your agency branding off it if the partner requires that.

Keep tax and invoicing out of the booking flow: GST, export invoices and any letter of undertaking belong with your CA and accounting system.

Mistakes Indian agencies make with scheduling

Showing slots in IST only, so a London prospect books the wrong hour.

Opening every team member's evening hours, then wondering why everyone is tired.

Sending a single founder's link for all enquiries, which caps growth at one diary.

Forgetting that Australian daylight saving starts and ends on different dates from the UK and US.

Asking for detailed technical specs on a first pitch form, which slows bookings.

Assuming a payment provider supports your account type without checking availability and onboarding requirements.

Example: a 22-person agency in Bengaluru serving India, the UK and Australia

Take a fictional performance marketing and web development agency in Koramangala, Bengaluru. Roughly half its revenue comes from Indian D2C brands, a third from UK e-commerce clients and the rest from two Australian partner agencies that resell its development work under their own name.

  • Pitch call (30 minutes): a round robin across three BD reps. Domestic slots run 11am to 6pm IST. UK prospects see the same reps between 1:30pm and 5:30pm IST, displayed in London time.
  • Evening block: one rep and the head of growth open 7pm to 9pm IST on Tuesdays and Thursdays for US enquiries, which now make up a small but growing share.
  • Proposal walkthrough (60 minutes): a collective meeting with the account lead and the relevant delivery lead, so both must be free.
  • Partner call (45 minutes): for the Australian agencies, offered 9am to 11:30am IST, which is Sydney mid-afternoon. No agency branding on the page.
  • Paid conversion audit: a 90-minute session that takes a deposit at booking for overseas clients, with GST and export invoicing handled separately by the agency's accountant.

The agency uses the Professionals plan for round robin, collective meetings, shared contacts and team analytics. Each person connects their Google Calendar, and video calls run on Zoom. Pitch-call questions ask for website URL, monthly ad spend range and the main goal. If you are comparing how agencies in other markets set up the same thing, see our guide to scheduling software for Australian agencies. For the Indian small-business view more generally, read booking software for Indian small businesses.

The illustrative maths: if faster replies and correct local times turn just two extra overseas enquiries in one quarter into retainers worth £1,500 a month each, that is £36,000 of work over the following 12 months. Convert at whatever rate applies when you invoice; the figures are illustrative, not a forecast.
