A free viewing booking template for estate agents and property managers

Copy the booking page, confirmation and reminder wording, swap in your [placeholders] and start taking viewing and inspection bookings today.

This free real estate viewing booking template gives you ready-to-use wording for a viewing or inspection booking page, the confirmation email and the reminder. Replace anything in [square brackets] with your own details and you’ll have a clear, professional page in minutes.

It works for UK accompanied viewings, Australian private inspections and rental viewings managed by property managers. Below the template you’ll find a filled example for a fictional Glasgow lettings agency. For the wider picture, see our guide to appointment scheduling for real estate agents.

What goes on a property viewing booking page?

A viewing page needs to do three things: tell the buyer or renter exactly what they’re booking, collect just enough information to confirm it, and set expectations for the day. Here is the template. Copy it as it is, then adapt the tone to suit your agency.

Booking page template

Page title: Book a viewing at [Property address, suburb or area]

Intro: Choose a time to view [short property description, e.g. three-bedroom semi with garden]. Viewings last about [15/20/30] minutes and are hosted by [Agent name] from [Agency name]. If none of these times suit, call [mobile number] and we’ll do our best to help.

Details to show: [Viewing length] · [Asking price or rent, if you publish it] · [Parking or access note] · [Whether the property is occupied]

Booking questions:

  • Full name
  • Mobile number, so we can contact you if plans change
  • Email address for your confirmation
  • [For sales] Do you have a mortgage in principle or finance pre-approval? Yes / No / Not yet
  • [For lettings] When would you like to move in?
  • Anything we should know, such as access needs?

Policy line: If you can no longer make it, please let us know as soon as you can so another buyer can take the slot. [Add your own rescheduling instructions.]

Confirmation email template

Subject: Your viewing at [Property address] on [Day, date] at [time]

Hi [First name], thanks for booking a viewing of [Property address]. [Agent name] will meet you at the property at [time] on [Day, date]. The viewing takes about [length]. [Parking or access note.] Please bring [photo ID, if your agency asks for it]. If anything changes, reply to this email or call [mobile number]. See you there, [Agent name], [Agency name].

Our separate guide on what to include in an appointment confirmation email explains each element in more detail.

Why a viewing template saves time and wasted trips

Without a template, every listing gets slightly different wording, and important details slip through: the parking note is missing, the length isn’t stated, or nobody asked for a mobile number. That leads to buyers waiting at the wrong door, agents calling round to confirm and viewings that don’t happen.

A consistent template fixes that. Buyers see the same clear structure every time, and you know each booking arrives with the details you need. It also makes it easier for colleagues to cover a viewing, because the key information is always in the same place.

Reminder email template

Subject: Reminder: viewing at [Property address] [tomorrow/today] at [time]

Hi [First name], just a reminder that your viewing at [Property address] is at [time] on [Day, date]. [Agent name] will meet you outside. [Parking or access note.] If you can’t make it, please let us know on [mobile number] so we can offer the slot to someone else. Thanks, [Agency name].

Whether you can edit reminder wording depends on your booking tool, so check your event settings. For timing, the article on email appointment reminder best practices suggests sensible options.

A note on ID and safety

Many agencies ask viewers to confirm who they are, and lone working policies often expect staff to share their whereabouts. Follow your agency’s own procedures, collect only the personal information you need, and handle it in line with UK GDPR and the Data Protection Act 2018 or, in Australia, the Privacy Act 1988 where it applies. This is general guidance, not legal advice.

Why use this viewing booking template

Ready in minutes: copy the wording, swap the placeholders and publish.

Fewer missed viewings: the confirmation and reminder carry the address, time and access notes.

Better-qualified viewers: one short qualifying question helps you prioritise serious buyers and renters.

Consistent listings: every property page follows the same clear structure.

Easy cover: colleagues can pick up a viewing because the details are always in the same place.

Works for sales and lettings: optional questions switch between buyers and tenants.

How to use the template in 6 steps

1

Copy the booking page wording — Paste the page title, intro, details and questions into a new viewing event type or booking page, one per property or one per viewing block.

2

Replace every placeholder — Swap each item in square brackets for your real details, and delete any optional lines, such as the sales or lettings question, that don’t apply.

3

Set the viewing length and buffer — Choose a 15, 20 or 30-minute slot and add a buffer after each viewing so you can lock up and make notes.

4

Limit availability to a viewing block — Offer slots in one or two blocks per week for each listing so buyers cluster together and you travel once.

5

Add the confirmation and reminder copy — Use the confirmation wording in your booking confirmation and the reminder wording where your tool allows it, and test both by booking yourself.

6

Share the link everywhere — Add the link to your listing emails, your email signature and a QR code on the signboard and brochure.

Best practices for viewing booking pages

Put the property address and suburb in the page title so buyers know they’re in the right place.

State the viewing length clearly to set expectations.

Keep booking questions to five or six at most.

Include parking and access notes in both the page and the confirmation.

Give a mobile number for day-of changes, not just an email address.

Use separate pages or event types for different listings to avoid mix-ups.

Review your wording every few months and update anything that causes questions.

Mistakes to avoid with viewing templates

Leaving a placeholder like [Property address] unchanged on a live page.

Copying one listing’s page for another and forgetting to update the parking note.

Asking for detailed financial information before a first viewing.

Omitting the time zone or date format in emails sent to buyers relocating from overseas.

Sending the confirmation without the agent’s name, so the buyer doesn’t know who to look for.

Collecting more personal data than you need and keeping it indefinitely.

Example: a lettings agency in Glasgow

Take a fictional two-person lettings agency in Glasgow’s West End managing flats for private landlords. Rental viewings were arranged by phone, and around viewing time the office was flooded with calls asking for the address or the buzzer number.

They set up Calenix on the Individual plan and used the template for each available flat. A typical page read:

Book a viewing at Flat 2/1, Hyndland. Choose a time to view this two-bedroom tenement flat with a bay window. Viewings last about 15 minutes and are hosted by Isla from our lettings team. If none of these times suit, call the office number on the listing and we’ll do our best to help.

The booking questions asked for name, mobile, email, preferred move-in date and any access needs. The confirmation included the full address, which buzzer to press and a note that the flat is second floor with no lift.

Each flat’s viewings were limited to two blocks a week, Tuesday 5.30pm to 6.30pm and Saturday 10am to 11am, in 15-minute slots with a five-minute buffer. That approach is explained further in how real estate agents can schedule property appointments. Links went into portal enquiry replies and on a QR code in the window of the office.

As an illustration: if the agency ran 40 rental viewings a month and each previously needed a five-minute confirmation call, that’s over three hours a month back. If they later add sales, the best booking software for real estate agents compares options for a growing office.
