Calenix vs Zoho Bookings: Which Appointment Scheduling Tool Is Right for Small Businesses?

A plan-by-plan look at Calenix and Zoho Bookings for small businesses: what each free plan covers, which features sit on paid tiers, and how costs change as your team grows.

Zoho Bookings gives small businesses a free plan for one user and low per-user paid plans, but online payments, SMS, group bookings and white labelling sit on its Premium tier. Calenix also starts free for one user, then adds paid bookings, branding control and more digital business tools on its Individual plan, with team scheduling on Professionals.

If you need several staff calendars on a tight budget and are comfortable paying per user, Zoho Bookings is good value. If you are a small owner-led business that wants to take paid bookings early and present your services professionally, Calenix can get you there without moving to a top-tier plan.

Two starting points

Zoho Bookings is the scheduling app in Zoho's wider software family. Its pricing page describes the Forever Free plan as being "for solo users who need the fundamentals of scheduling software", and its paid Basic and Premium plans are charged per user.

Calenix is a scheduling and professional presence platform. Booking pages sit alongside service pages, landing pages, digital business cards, LinkDock and email signatures, so a small business can run its booking and its first impression from one account.

We have previously compared the two on how well each fits your existing software stack. This article focuses on something more practical for owners: what you get on each plan and when you would need to pay more.

Compiled from the official Calenix and Zoho pages in October 2026:

What the free plans actually cover

Both free plans are aimed at one person. Zoho's Forever Free plan includes online meetings, notification emails and reminders, and two-way calendar sync with Zoho, Google and Microsoft 365 or Outlook.com. That is enough for a sole trader who simply wants people to pick a time.

Calenix Free includes one connected calendar, one booking page with one event type, unlimited 1-to-1 bookings, email confirmations and basic reminders, and date polls. It also includes one service page, a starter landing page, one digital business card, one email signature and one LinkDock page, with Calenix branding shown.

Say you run a one-person bookkeeping practice in Hobart. On either free plan you could share a link for 30-minute discovery calls. The difference is what surrounds it: with Calenix you could also hand out a digital card at a local business breakfast that leads back to the same booking page. Features small businesses often need next

Most small businesses outgrow a free plan for one of four reasons: they want to take payment when someone books, they want text message reminders, they run group sessions, or they want the booking page to look like their own brand. Here is where each lands.

  • Taking payment: Zoho Bookings lists payment providers on Premium. Calenix includes paid bookings and deposits through Stripe from its Individual plan.
  • SMS reminders: Zoho Bookings lists SMS workflows and SMS providers on Premium. Calenix does not currently list SMS reminders, so its reminders are email-based.
  • Group sessions: Zoho Bookings lists group and resource bookings on Premium. Calenix includes group meetings from Individual.
  • Brand control: Zoho Bookings lists white labelling, a custom domain and custom CSS on Premium. Calenix lets you remove its branding and use one branded domain from Individual.

If SMS reminders are essential for your clients, that points towards Zoho Bookings Premium. If paid bookings and a branded page matter more, Calenix Individual covers both.

How costs change as you add people

Zoho Bookings charges its Basic and Premium plans per user, so the monthly cost rises in step with the number of staff who take bookings. Basic includes one workspace and Premium includes three, with more available as add-ons.

Calenix's Individual plan is for one user. When a second person needs to take bookings, the Professionals plan adds unlimited users, team scheduling, round robin and collective meetings, starting from a set price and configured to the usage you need.

Consider a hypothetical three-person physiotherapy clinic in Adelaide. If each physio needs their own bookable calendar plus SMS reminders, Zoho Bookings Premium per user is a natural fit. If the clinic mainly needs round robin for initial assessments, a shared booking presence and branded cards for each physio, Calenix Professionals may be simpler to manage. Running a few test bookings on each before deciding is worth the hour it takes.

Calenix or Zoho Bookings: which should you choose?

Choose Zoho Bookings if…

Zoho Bookings suits small businesses that need several bookable staff on a modest budget, want round robin from the Basic tier, or need SMS reminders and a wider choice of payment gateways on Premium. Its paid plans include automatic time-zone and language conversion, and it connects natively with Zoho CRM. It also sits within Zoho's wider suite of business apps, which helps if you plan to adopt more of them later.

Choose Calenix if…

Calenix suits owner-led businesses that want paid bookings, group meetings and their own branding without moving to a top tier, and that also want service pages, a landing page, digital business cards, LinkDock and email signatures in the same account. It is a newer platform and does not currently list SMS reminders, so weigh that if your clients rely on texts.
