Calenix vs Square Appointments: Which Appointment Management Tool Is Better for Solo Entrepreneurs?
Running a one-person business? We compare what Calenix and Square Appointments include on their free plans, what needs an upgrade, and how processing fees and subscriptions add up for a solo operator.
Square Appointments' free plan is generous for a solo operator who takes card payments in person: it includes a booking website, text and email reminders, card on file and prepayments, and you pay Square's processing fees per transaction. Calenix's free plan suits solo professionals whose sessions happen online or in an office, because it focuses on booking, calendar connection and a professional presence, with paid bookings from its Individual plan.
If you run a chair, a studio or a mobile service and take payment on the spot, Square is hard to ignore. If you sell your time and expertise and live in Google Calendar, Calenix is likely the easier fit.
What a one-person business needs from booking software
When you are the whole business, every tool has to earn its place. You need clients to book without calling you, you need bookings to land in the calendar you already check, you need fewer no-shows, and you need to be paid without chasing.
Square Appointments answers those needs from the payments side. It is part of Square's point-of-sale and payments system, so booking, card payments and invoices sit together.
Calenix answers them from the scheduling and presence side, combining booking pages with service pages, a landing page, a digital business card, LinkDock and an email signature.

The Google Calendar question
Many solo operators run their whole life from one calendar: school pick-ups, the gym, supplier calls and client sessions. If your booking tool cannot see that calendar, you risk being booked when you are not available.
On Square Appointments' AU and UK pricing pages, Google Calendar sync is listed as a Plus feature rather than part of the Free plan. Calenix connects one calendar on its Free plan and describes two-way sync with Google Calendar on its integrations page, with Outlook and Apple iCloud also listed.
Say you are a hypothetical Canberra career counsellor who also teaches two evenings a week. With your personal Google Calendar connected, those evenings disappear from your booking page automatically. Our guide to sharing availability without double bookings explains what else to check.
Getting paid: fees versus subscriptions
Square's Free plan has no monthly fee, but each card payment carries a processing fee. On the Australian pricing page, in-person payments are 1.6% for sellers who signed up on or after 30 May 2024 or who are on Plus or Premium (other sellers pay 1.9% on Square hardware or Tap to Pay), with online and manually entered payments at 2.2%. On the UK page, in-person payments are 1.75% on Free, and online payments are 1.4% + 25p for UK cards.
Calenix does not process cards itself. Paid bookings and deposits on its Individual plan run through Stripe, so Stripe's own fees apply on top of the Calenix subscription. Check Stripe's pricing for your country before you compare totals.
For a solo operator, the useful question is how you are paid. If most clients tap a card at the end of a session, Square's built-in payments are convenient. If clients pay online when they book a video call or office session, Calenix with Stripe covers it. Our guide to accepting payments for appointments online walks through the options.
Two solo businesses, two answers
Consider two hypothetical sole traders. The first is a mobile dog groomer in Newcastle who finishes each appointment by taking payment on a phone. Square's Free plan gives them a booking website, text reminders and card payments in one place, so it is a natural fit.
The second is a freelance marketing strategist in Bristol who runs paid video workshops and free intro calls. They want clients to read about each workshop, book a time that respects their Google Calendar and pay online. Calenix Individual covers that with a service page, a connected calendar and Stripe payments, plus a digital card for networking events.
When a solo business should upgrade
On Square, the usual triggers for Plus are no-show and late-cancellation fees, Google Calendar sync, a waitlist, class booking or a second location. On Calenix, the trigger for Individual is usually taking paid bookings, removing Calenix branding, adding more event types or connecting more than one calendar.
- Square Plus: A$40 per month per location in Australia, or £29 per month per location in the UK.
- Calenix Individual: A$12 per month billed annually, or A$15 month to month, for one user.

Square is the better match if…
Square suits solo operators who take payment in person through Square, or want text reminders and prepayments without a monthly subscription. Calenix is the better match if…
Calenix suits solo professionals who sell sessions online or in an office, want their personal Google Calendar connected from day one, and want a service page, digital business card and email signature that lead clients to the same booking page.
