Calenix vs Mindbody: Which Scheduling Software Is Better for Wellness Businesses?
Mindbody is studio management software priced per location. Calenix is a lighter booking and presence platform for wellness practitioners. We compare classes, appointments, marketplace fees and cost.
Mindbody is business management software for studios, gyms and wellness venues, with class booking, payments, a business website and a listing in the Mindbody consumer app. It is priced per location rather than per user. Calenix is a lighter scheduling and professional presence platform, better suited to wellness practitioners who mainly book one-to-one or small group sessions, such as coaches, therapists, nutritionists and personal trainers.
If you run a timetable of classes in a venue, Mindbody is built for you. If your diary is mostly appointments arranged around your availability, Calenix is likely to be simpler and cheaper.
What each tool is built for
Mindbody is part of Playlist, the parent company of Mindbody, Booker and ClassPass, which continue to operate as separate brands. According to EGYM's official announcement, Playlist's merger with EGYM closed on 31 March 2026. Mindbody's Australian plans start with booking, payments, a website and a Mindbody app listing, then add room and resource management, spot booking and promo codes, and later automated email and text campaigns, an AI front desk and a lead pipeline.
Calenix focuses on scheduling and how a practitioner presents themselves. It offers booking pages and event types, Stripe paid bookings and deposits, email reminders and workflows, group meetings and date polls, alongside service pages, landing pages, digital business cards, LinkDock and email signatures.

Studio operations or practitioner bookings?
Wellness covers very different businesses. A hypothetical Adelaide reformer Pilates studio runs a weekly timetable, lets members choose a specific machine, sells class packs and wants new clients to find it through an app. A Leeds sports massage therapist, by contrast, works from a single treatment room and books clients into 45 or 60-minute appointments.
The studio's needs line up with Mindbody: class booking, Pick-a-Spot, rooms and resources, promo codes and marketing campaigns. The therapist needs far less. A booking page with clear session types, buffers between appointments, a deposit for first visits and reminder emails covers most of the work, and Calenix provides those from its Individual plan.
Calenix does not currently list class timetables, spot booking, passes or memberships. If your income depends on those, a studio platform is the better fit. Our guide to scheduling software for coaches and trainers explains how appointment-based practitioners can set up their booking flow.
The cost of new clients
Mindbody's consumer app can bring in new clients, and Mindbody says listing there is free. When the app delivers a client who is new to your business, Mindbody charges a 20% fee on that client's first purchase only, capped at 30 in local currency, according to its pricing page. Returning clients do not attract the fee.
Calenix does not run a consumer marketplace, so it has no equivalent fee. New clients reach you through your own channels: your website, social profiles, a LinkDock page, a digital business card handed over at an event, or a booking link in your email signature. You keep control of that journey, but you also do the work of attracting people to it.
Which suits you depends on where clients come from today. A new studio in a busy suburb may value app discovery. A practitioner who grows through referrals from GPs, physios or past clients may rarely need it. Track where your last twenty new clients came from before deciding how much app discovery is worth to you.
Keeping clients coming back
For wellness businesses, the second and third visits often matter more than the first. A studio relies on members returning to the timetable each week. A practitioner relies on clients rebooking the next session before they leave, or soon after.
Mindbody's Growth plan adds automated email and text campaigns and a lead pipeline, which suit a venue running promotions to fill classes. Calenix takes a more personal route: email confirmations and reminders, follow-up workflows after a session, and a booking link that clients can reuse whenever they are ready. A physiotherapy-style follow-up, for example, could send a short check-in after the first session with a link to book the next one.
Whichever tool you use, keep reminders short and useful: the time, the location or video link, what to bring and how to reschedule. Our guide to automated meeting reminders suggests a sensible cadence that avoids over-messaging clients.

Calenix or Mindbody: which should you choose?
Where Mindbody is the stronger choice
Mindbody is the stronger choice for yoga and Pilates studios, gyms, boutique fitness venues and multi-room wellness centres. Per-location pricing with no per-user charge, class and spot booking, rooms and resources, marketing campaigns and app discovery are designed for businesses with a timetable and a front desk.
Where Calenix is the stronger choice
Calenix is the stronger choice for independent wellness practitioners who sell appointments and small group sessions: coaches, counsellors, nutritionists, massage therapists and personal trainers. A free plan, low-cost paid tiers, Stripe deposits and a built-in professional presence fit that kind of practice, though it does not offer studio management features.
