Calenix vs Appointy: Which Appointment Scheduling Software Is Better for Growing Businesses?
Appointy bundles staff, locations and resources into flat-priced plans for growing appointment businesses. Calenix grows from a free solo plan to team scheduling with built-in professional presence tools. We compare the path from one person to a team.
If your growth means more staff, more locations and bookable rooms or equipment, Appointy is built for that shape of business, with staff included in flat-priced plans and resources from its Professional plan. If growth means adding colleagues who each need their own booking presence, with shared availability, round robin and branded cards and signatures, Calenix is the better fit. The right answer depends on what you are adding as you grow.
What each tool is built for
Appointy positions itself across appointments and resources, classes, workshops and events, and tours, rides and activities. Plans are a flat monthly fee that includes a set number of staff, with extra staff charged per month.
Calenix is a scheduling and professional presence platform. It starts with a free plan for one person and grows to a Professionals plan with unlimited users, team scheduling and shared availability, plus digital cards, email signatures and LinkDock for each team member.
Based on each vendor's official pages at the time of writing (October 2026):
Stage one: one person, one calendar
Both tools let a sole operator start free. Appointy's free plan covers one staff member and five services with up to 100 appointments a month, and includes Square payments and a mobile app. Calenix Free covers one user with one connected calendar, one event type and unlimited 1-to-1 bookings, plus a digital business card, email signature and LinkDock page.
The early question is what you want your first clients to see. If it is a booking page and a way to pay in person, Appointy's free plan is generous. If it is a professional identity with a booking link at its centre, Calenix gives you more of that from day one.
Stage two: adding people
Appointy's Growth plan includes one staff member, with extra staff at $5 a month each, while its Professional plan includes five staff, with extra staff at $7.50 a month each. Calenix's Professionals plan starts from A$29 a month billed annually and includes unlimited users, team scheduling with shared availability, round robin and collective meetings, admin controls and team templates.
Say a hypothetical Geelong physiotherapy practice grows from one to four clinicians. Each clinician needs their own availability, and reception needs to avoid double bookings. Both tools can handle that; our guide on how to share availability without double bookings covers the practical setup.
Stage three: rooms, equipment and locations
This is where Appointy pulls ahead for some businesses. It lists resources such as rooms from its Professional plan, and its Enterprise plan includes two locations with five staff at each, with further locations charged separately. Capacity booking, recurring bookings and Reserve with Google appear from Growth.
Calenix does not currently list room or equipment booking or multi-location management. If your growth plan includes a second clinic or bookable treatment rooms, Appointy is the more natural fit. If you are growing a team of consultants, advisers or coaches who work from calendars rather than rooms, Calenix's team features and per-member cards and signatures are likely to matter more. Our article on scheduling software for Australian agencies looks at that kind of team.
A growth checklist before you commit
Growing businesses often choose software for where they are today and then switch a year later. A short checklist helps you choose for the next stage instead.
First, list who will need a calendar in twelve months, not just today, and whether they will see clients in the same place. Second, note anything bookable that is not a person, such as a treatment room, a vehicle or a piece of equipment. Third, decide how clients will pay: online at booking, in person, or both.
Fourth, think about identity. Will each team member need their own booking link, business card and email signature, or will clients book the business as a whole? Fifth, check how reminders will reach clients and whether text messages are essential.
Score both tools against that list, then run a full test booking on each from a client's point of view. The answers usually make the choice obvious: operational depth for rooms and locations, or professional presence for people-led teams.

Calenix or Appointy: which should you choose?
Where Appointy is the stronger choice
Appointy suits businesses that grow by adding staff, locations, rooms and classes: clinics, studios, tour operators and service centres. Flat plans with staff included, resources, multiple locations, several payment gateways including Square for in-person payments, and SMS credits make it a broad operational tool.
Where Calenix is the stronger choice
Calenix suits professional teams that grow by adding people with their own client relationships. Unlimited users on Professionals, round robin and collective meetings, and branded digital cards, email signatures and LinkDock for every member give each person a consistent presence. Branding removal starts on the Individual plan rather than the top tier. It does not list rooms, locations or SMS, so check those needs first.
