Koalendar offers a generous free plan and a low-cost Pro tier with commission-free payments. Calenix bundles booking with service pages, digital cards and signatures. Here is how they compare for freelancers and consultants.

Quick answer

Koalendar is a low-cost booking tool with a generous free plan and an inexpensive Pro tier that adds payments with no Koalendar commission, reminders and team features. Calenix's paid plans are priced in AUD and bundle booking with service pages, landing pages, digital business cards, LinkDock and email signatures. Freelancers who only need a reliable booking link on a tight budget will find Koalendar hard to beat; consultants who want their whole client-facing presence in one place will get more from Calenix.

What each tool is built for

Koalendar is a scheduling tool aimed, in its own words, at "professionals and small businesses". Testimonials on its site come from teachers, tutors and business owners. It keeps the focus on booking pages, calendar connections and payments, with a mobile app and browser extensions for managing bookings on the go.

Calenix is a scheduling and professional presence platform. Booking pages and event types sit alongside service pages that describe what you offer, landing pages for campaigns, and identity tools such as digital business cards, a LinkDock link page and email signatures. For a consultant, it aims to cover the path from first impression to booked session.

Getting paid without losing a cut

For freelancers, paid bookings are often the feature that matters most. Koalendar's Pro plan supports payments through Stripe, including Apple Pay, Google Pay and cards, plus PayPal and a PayPal.me link option, and it states that Koalendar does not take any commission. Your payment provider's own fees still apply.

Calenix supports paid bookings and deposits through Stripe from its Individual plan. Where it adds value is the context around the payment. A Sydney brand consultant could publish a service page for a two-hour positioning workshop, explain what is included and what to prepare, show the price, and then take payment at booking. The client knows exactly what they are buying before they reach checkout, which tends to mean fewer pre-booking emails asking what a session covers.

If you need PayPal specifically, Koalendar has the edge, as Calenix does not currently list PayPal.

One link or a whole presence?

Many freelancers start with one booking link in their bio or email. Our scheduling guide for freelancers explains why that is a sensible first step. Koalendar does that job well and adds browser extensions and mobile apps to make sharing and managing bookings easy.

Consultants often need more surrounding material. A potential client who meets you at an industry event, opens your digital card, clicks through to a service page and books a discovery call has had a joined-up experience. Calenix includes digital business cards, LinkDock and email signatures, so the same branding and booking link appear in each place. Our guide to booking software for consultants covers how to structure those touchpoints.

The trade-off is simplicity. If you will never use cards, signatures or service pages, a focused booking tool may feel lighter. A useful test is to list every place a client could find you today, such as your website, LinkedIn, email footer and networking events, and check whether each one leads to the same booking page with the same branding.

Reminders and no-shows

Reminders are a quiet but important difference on the free plans. Koalendar's free plan does not include email reminders; they arrive with Pro, along with optional SMS reminders charged by usage. Calenix includes email confirmations and basic reminders on its free plan, with advanced reminders and workflows from Individual.

Say a freelance tutor in Perth runs weekly sessions on a free plan. With Calenix, students still receive basic reminders before each lesson. With Koalendar's free plan they would not, unless the tutor upgrades. On the other hand, if the tutor's students respond best to text messages, Koalendar Pro offers SMS, which Calenix does not currently list.

Pricing compared

From each vendor's official pricing page at the time of writing (October 2026). Koalendar's pricing page currently shows different versions to different visitors: one lists Free and Pro only, another shows different Pro prices and adds a Business/Premium tier where team features such as round robin sit. Check the version you see before deciding.

Koalendar (prices shown in $)

  • Free: free forever, with unlimited bookings and booking pages; one version of the comparison table lists 2 calendar syncs.
  • Pro: one version of the page lists $6.99 per seat per month billed annually, or $9.99 per seat per month billed monthly; another version shows different Pro pricing. Koalendar defines a seat as "a user or a resource that can be booked". A 7-day free trial is offered with no card required.

Calenix (AUD)

  • Free: A$0, unlimited 1-to-1 bookings, basic reminders, date polls, 1 digital card, 1 email signature and 1 LinkDock page.
  • Individual: A$12 per month billed annually, or A$15 month to month, adding paid bookings, unlimited event types, custom branding, a branded domain and more.
  • Professionals: from A$29 per month billed annually, for teams.

Where Koalendar is the stronger choice

Koalendar is the better pick for budget-conscious freelancers who want a straightforward booking tool. Its free plan includes unlimited bookings, its Pro tier is inexpensive and includes group sessions, it supports PayPal and a wide range of payment methods without commission, and it offers native iPhone and Android apps and optional SMS reminders.

Where Calenix is the stronger choice

Calenix suits consultants and freelancers who want booking to sit inside a broader professional presence. Basic reminders on the free plan, service and landing pages, date polls, digital business cards, LinkDock and email signatures mean fewer separate subscriptions as you grow. As a newer platform, it does not currently list mobile apps or SMS reminders, so weigh those if they matter to you.
